Medical Receptionist (Full Time or Part Time)

Administrative Supervisor


The receptionist is responsible for appointment scheduling, answering phones, greeting patients
and being the front line person of ONE Fertility.

Due to the COVID-19 situation, the role will include other duties such as screening patients and staff or cleaning high touch surfaces.


Serve as the initial point of contact for patients and carry out all reception related duties.

    • Answer and forward phone calls.
    • Schedule and confirm patient appointments, receive and communicate messages
      for medical staff and patients.
    • Register patients on arrival.
    • Interview patients to obtain information required for medical services.

Responsible for collecting patient payments

    • Review payment record, identify outstanding charges, collect monies owing,
      prepare invoices and receipts.
    • Complete insurance and other claim forms.
    • Phone patients to insure they are aware of ONE Fertility’s payment policies.

Collate and manage the administration of patient charts

    • Initiate and maintain confidential medical charts and records, including electronic medical records (EMR).
    • Familiarity with all aspect of the OSCAR patient management system.
    • Ensure requisitions are sent to the appropriate entity and patients test results have been received.
    • Follow up on test results not yet received by calling the appropriate labs to have reports faxed.
    • Respond to requests for records, copy and send requests for release of information to the appropriate hospital or physician office.
    • Locate and remove reports from files/EMR when requested.
    • Sort, file and scan reports into patient charts.
    • Prepare and/or retrieve files for upcoming clinic visits.
    • File reports away when no longer needed.

Responsible for administrative duties

    • Train new staff in booking appointments and scheduling.
    • Provide assistance as necessary with the preparation of the physicians’ schedule.
    • Photocopy documents for distribution, mailing and filing.
    • Process incoming and outgoing mail, manually and electronically.
    • Send and receive messages and documents using fax machine and electronic mail.

Other duties as required.


    • Successful completion of a recognized medical office administrator program preferred.
    • Minimum of 2 years medical office experience required.
    • High attention to detail and accuracy.
    • Experience in third party billing an asset.
    • Excellent organizational skills essential.
    • Proficient in word perfect and data entry.
    • Demonstrated initiative, accuracy and the ability to work independently.
    • Proven interpersonal and communication skills.

    • Participate in the weekend rotation.
